Terms of Service

These terms govern your use of Pipeline OS, Emma AI, our website and our transaction coordination services. They form a binding contract, so please read them.
The parts most people need are sections 4 and 5 on billing and cancellation, section 6 on how TC Services work, and section 8, which explains that we are a software and coordination company and not your broker, lawyer or accountant.
1. The agreement
These Terms of Service are an agreement between you and Pipeline Concierge, LLC, a Texas limited liability company. By creating an account, submitting a file, or using our website, you agree to them. If you do not agree, do not use the service.
Our Privacy Policy is part of this agreement.
2. Who may use the service
You must be at least 18 and able to enter a binding contract. Pipeline OS is built for licensed real estate agents and for people working toward a licence. TC Services are available only to real estate agents licensed in Texas, for transactions governed by Texas law.
If you use the service on behalf of a brokerage or team, you confirm you are authorised to bind that organisation to these terms.
3. Your account
- Give accurate information when you register, and keep it current.
- You are responsible for everything that happens under your login, so keep your password secret.
- One account per person. Do not share a login, and do not resell or sublicense your access.
- Tell us at once if you suspect unauthorised use of your account.
4. Plans, trials and billing
Pipeline OS is sold as a monthly subscription. Current plans and prices are shown on our pricing page and are charged in US dollars.
Free trial
Where a trial is offered, you are not charged until it ends. You must provide a valid payment method to start it. Cancel before the trial ends and you are not charged. Unless we say otherwise, one trial per person.
Renewal
Subscriptions renew automatically each month until you cancel. By subscribing you authorise us to charge your payment method on each renewal date.
Founders pricing
Where a promotional or founders rate is offered, it applies for as long as your subscription remains continuously active. If you cancel and later resubscribe, the rate then current applies.
Price changes
We may change standard prices. We will give you at least 30 days' notice by email before a change affects you, and you may cancel before it takes effect.
Failed payments
If a payment fails we may retry it and may suspend access until the balance is settled.
Taxes
Prices exclude any applicable sales or use tax, which we add where required.
5. Cancelling and refunds
You can cancel at any time from your account settings. Cancellation stops the next renewal; it does not retroactively refund the period you are in. You keep access until the end of the period you have paid for.
Subscription fees are otherwise non-refundable, including for partial months and for periods where you did not use the service. Nothing here limits any right to a refund that you have under law, and we may still issue a refund at our discretion where something has clearly gone wrong.
TC Service fees are separate from subscription fees and are governed by section 6.
6. TC Services
TC Services are a human service: a transaction coordinator manages your file from contract acceptance through funding.
Fees
$375 per file for non-members, $300 per file for active Pipeline OS members. The member rate applies to files submitted while your subscription is active.
When you pay
The fee is invoiced at closing. There is no upfront charge and no card is held on file for TC Services.
If the deal does not close
Where a transaction terminates before closing, we may invoice for work already performed. We will tell you before we do, and we will not invoice a file we barely started.
Acceptance
We confirm acceptance of a file, normally within one business day. A file is not covered until we have accepted it. We may decline a file.
Scope
Coordination, deadline tracking, document management and communication with the parties. It does not include negotiating on your behalf, giving legal or tax advice, or performing acts that require a licence you hold and we do not.
Your responsibility
You remain the licensed agent of record and remain responsible to your client and your broker. You must give us complete and accurate documents, and you must review what we prepare.
A coordinator tracks deadlines diligently, but you are the agent on the file. You are responsible for the final review of your transaction and for your own compliance with TREC rules and your brokerage’s policies.
7. Emma AI
Emma generates responses using artificial intelligence, informed by the business information in your account.
- Emma can be wrong. AI-generated output may be inaccurate, incomplete or out of date, and you must use your own judgement before acting on it.
- Emma's plans, scripts, figures and recommendations are suggestions, not instructions, and not a guarantee of any result.
- Do not rely on Emma for legal, tax, financial or brokerage compliance questions. Ask a qualified professional.
- Message allowances are stated on your plan. We may apply fair-use limits to prevent abuse.
- Your conversations are processed as described in our Privacy Policy, including by a third-party AI provider.
8. What we are not
Pipeline Concierge is a software and transaction-coordination company. We are not a real estate brokerage, and we do not represent buyers or sellers. We are not your broker, lawyer, accountant or financial adviser, and nothing in the product or on this website is legal, tax, financial or investment advice.
Nothing we provide creates an agency relationship between us and your client. Your obligations to your client, your broker and TREC remain entirely yours.
We make no promise about how much you will earn or how many transactions you will close. Any figures shown as examples are illustrative and are not a projection of your results.
9. Your content
You keep ownership of everything you put into the service: your contacts, deals, notes, figures and documents. You give us a limited licence to store, process and display that content for the sole purpose of providing the service to you, and to our providers listed in the Privacy Policy for the same purpose. That licence ends when you delete the content or close your account.
You confirm you have the right to give us any personal information about third parties, including your clients, and that doing so does not breach any duty you owe them.
10. Acceptable use
You agree not to:
- Break the law, or use the service to harass, defraud or mislead anyone.
- Upload malware, or attempt to breach, probe or disrupt the service or another member's account.
- Scrape, mine or bulk-export data from the service by automated means.
- Reverse engineer the service, or copy it to build a competing product.
- Resell, sublicense or share your access with anyone else.
- Use Emma to generate unlawful, deceptive or discriminatory content, including anything that breaches fair housing law.
We may suspend or close an account that breaches this section.
11. Our intellectual property
The service, including the Pipeline OS software, the pipelines and frameworks, Emma, our written materials, and the Pipeline Concierge name and branding, belongs to us and is protected by intellectual property law. You get a limited, non-exclusive, non-transferable right to use it while your account is active.
Member materials such as guides, scripts and templates are provided for use in your own real estate business. Do not redistribute, resell or publish them.
12. Third-party services
The service depends on third parties, including our hosting, payment, email and AI providers, and may link to sites we do not control. We are not responsible for the content, terms or practices of a third party. Any vendor recommended in the product is a suggestion, not an endorsement or a warranty of their work, and any dealings with them are between you and them.
13. Availability and changes
We aim to keep the service available, but we do not promise uninterrupted access. We may carry out maintenance, and we may add, change or withdraw features. If we withdraw something significant that you are paying for, you may cancel and we will refund the unused part of that period.
14. Disclaimers
To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, title and non-infringement.
We do not warrant that the service will be error free, that defects will be corrected, or that any content, plan or figure generated by the service is accurate or suitable for your circumstances.
15. Limitation of liability
To the fullest extent permitted by law, neither party is liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost commissions, lost business or lost data, even if advised such damages were possible.
Our total liability arising out of or relating to the service is limited to the greater of the amounts you paid us in the twelve months before the event giving rise to the claim, or one hundred US dollars.
Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you. Nothing here excludes liability that cannot lawfully be excluded, including for fraud.
16. Indemnification
You agree to indemnify and hold harmless Pipeline Concierge, LLC and its officers, employees and contractors from any claim, loss or expense, including reasonable legal fees, arising from your use of the service, your content, your breach of these terms, or your acts and omissions as a licensed agent, including any claim brought by your client or your broker.
17. Termination
You may close your account at any time. We may suspend or close your account if you breach these terms, if we are required to by law, or if we discontinue the service, in which case we will give reasonable notice and refund any unused prepaid period.
On termination your right to use the service ends. Sections that by their nature should survive, including sections 9, 11, 14, 15, 16 and 18, survive termination. Any TC fee already earned remains payable.
18. Governing law and disputes
These terms are governed by the laws of the State of Texas, without regard to conflict of law rules. The exclusive venue for any dispute is the state or federal courts located in Texas, and both parties consent to the jurisdiction of those courts.
Before filing anything, please email admin@pipelineconcierge.com and give us 30 days to put it right. Most problems are faster to solve that way.
19. Changes to these terms
We may update these terms. If a change is material we will give you at least 30 days’ notice by email or in the app before it takes effect. Continuing to use the service after that means you accept the updated terms. If you do not accept them, cancel before they take effect.
